Getting started with Coolcheck, answers to common questions, known limitations, and how to reach a human.

01 GETTING STARTED

How to check a cooling tower in three steps

STEP 1
Enter your plan parameters. On the tool page, fill in the control limits your water management plan specifies for each parameter — pH, conductivity, biocide, temperature. Leave a field blank and the tool uses the ASHRAE 188 default, labelled as such. Also set your culture (dip-slide) sampling frequency — the default is 30 days from ASHRAE 188 §5.2.1.
STEP 2
Upload your reading log. Export from your cooling tower spreadsheet as CSV. Columns must be: date (YYYY-MM-DD), location, parameter, value, unit. Paste the CSV directly or use the file picker.
STEP 3
Review the findings. Click "Check compliance". Results appear on the right: out-of-range values (red), overdue readings (amber), missing records (accent). Each finding cites the clause that requires it. Download as CSV for your records.

Common questions about Coolcheck

Is this tool free?

Yes. Coolcheck is free for any cooling tower you manage. No account needed, no data stored, no feature gate. Every parameter check, every clause citation, every CSV download — all available in one request with no charge. See pricing for details.

What parameters does it check?

Four continuous parameters with published ASHRAE 188 §8.3 default control limits:

  • pH — default range 6.5 – 8.5, checked every 7 days
  • Conductivity — default ≤ 1800 µS/cm, checked every 7 days
  • Biocide — default range 0.5 – 5.0 mg/L, checked every 7 days
  • Temperature — default ≤ 38 °C, checked every 7 days

Plus culture (dip-slide) sampling frequency — default 30 days per ASHRAE 188 §5.2.1. You can override any default with your plan's own values on the tool page. The tool also checks for missing readings — dates where a required parameter has no record.

Can I use my own plan's control limits instead of the ASHRAE 188 defaults?

Yes. Every parameter field on the tool page can be overridden with your water management plan's own limits. The tool uses your values when supplied and falls back to the ASHRAE 188 default (labelled "default from ASHRAE 188 §8.3") when left blank. Culture frequency and its plan section reference are also editable.

Does Coolcheck store my readings?

No. Every request is processed entirely in memory during a single HTTP request. Nothing is saved server-side — no database, no log, no cache. Refresh the page and you start fresh. There is no account system, no saved history, and no way to revisit a past check. See the privacy policy for full details.

Does Coolcheck send email reminders for overdue readings?

No. There is no email sender connected to this service. Overdue findings are displayed on screen and available for download — they are for your reference only. You must act on them yourself. This is stated on the tool page next to any overdue items so you are never left wondering whether a notification might arrive later.

Does this tool replace a water management plan, an inspector, or a qualified EHS professional?

No. Coolcheck is a schedule calculator and log comparator. It compares readings against published values and plan parameters — it does not interpret those results, issue compliance certificates, or provide health or safety verdicts. "Within control limits" is a statement about a number against a plan; it is not "the tower is safe." What CSV format does the tool expect?

Columns: date (YYYY-MM-DD), location, parameter, value, unit. Example:

Parameter names are matched case-insensitively against the ones you defined in the plan parameters section. Rows with unrecognised parameters are skipped with a note.

Can I save my plan parameters so I don't have to re-enter them?

No. There are no accounts, no saved profiles, and no persistent storage. Every check starts from the defaults on the tool page. This is a deliberate constraint — the tool is a calculator, not a data platform. A paid tier would add per-tower saved profiles if introduced in the future, but none exists today.


03 KNOWN LIMITATIONS

What Coolcheck does not do — and does not claim to do

These limitations are structural. We state them here and on every page because an honest gap is information, and a hidden one is not.

No email, reminders, or alerts

There is no email sender in this fleet. Coolcheck cannot send you a notification when a reading is overdue, when a result comes back, or when a scheduled check is due. Overdue and missing findings are displayed on screen for your reference — you must act on them yourself.

This is not a planned feature for a future release. There is no email infrastructure to enable.

No BMS, CMMS, or LIMS integration

CSV pasted or uploaded directly through the tool page is the only input format. There is no integration with Johnson Controls, Siemens, Fiix, Maximo, or any building management system, computerised maintenance management system, or laboratory information management system.

If your BMS or lab cannot export CSV, this tool cannot read its output.

No storage, no accounts, no history

Every request is processed independently. No readings, plan parameters, or results are stored server-side. There is no login system, no way to revisit a past check, and no way to compare results across months. Refresh the page and you start from scratch.

Not a compliance record

The tool checks arithmetic and dates against a standard. It does not produce output that satisfies an inspector's documentation requirement. Findings are for your reference and should be verified against the published standard and your water management plan before any compliance filing.

No health or safety verdict

"Within control limits" is a statement about a value against a plan threshold. It is not a statement that the tower is safe, that water quality is acceptable, or that legionella risk is controlled. Always consult a qualified EHS professional for health and safety decisions.

A tool that misses a lapse is worse than a spreadsheet

A spreadsheet does not claim to be watching. Coolcheck does — but it has no way to detect every possible lapse. It checks the parameters and frequencies you tell it about, against the plan values you enter. If you omit a parameter from the form, the tool cannot check it. If your CSV omits a reading, the tool cannot know it was taken. Always cross-reference findings against your full records.
